  1. All research-related space allocated to the Department of Medicine by the University remains under the stewardship of the Chair and the Vice-Chair of Research. This includes laboratories, offices, equipment rooms, cold rooms, and other storage rooms. When a Division relinquishes space because an investigator vacates due to retirement, resignation, or failure to obtain grant support, stewardship of the space reverts to the Department of Medicine and not the previously-occupying Division. It is possible that the Division will be reallocated the space again at some time in the future.

  2. Allocation of laboratory space is dictated by the programmatic needs of the Department. While high funding density is desirable and deserving of recognition, it does not per se determine space allocation. Thus, increases in grant support do not necessarily require greater space allocations.

  3. The default assumption for any grant application approved by the Department of Medicine is that the investigator already has sufficient space to conduct the proposed research. If an investigator plans to submit a grant application he or she feels will require new or renovated space, (laboratory, shared, storage, office), the Division Chief should be petitioned before soliciting the Department. The Department will only make space decisions when all divisional options are exhausted. To request additional space for this purpose, please use the online Department of Medicine Research Space Request form. Indicate Divisional Constraints – the reasons the Division cannot provide space – on the form. The Request must be submitted at least two months prior to the grant application deadline. Do not wait until you are certain of funding. Departmental space is at a premium, so the Department cannot accommodate requests on a last-minute basis or guarantee space allocation. The Department must receive requests prior to grant submission in order to coordinate space allocation with funding start dates. If the Department agrees to provide space, please include a note in the RASCAL record and send a copy of the RASCAL to Susanne Sullivan in PH 8 East Room 101.

  4. Divisional allocations of laboratory space are under continuous review, and decisions about space rest ultimately with the Chair. In general:
    • Commitments of space must be adequately used;
    • In the event that an investigator has a major lapse in NIH or peer-reviewed funding, space will be returned to the Department for reallocation after allowing two reasonable cycles of review. Space allocation can be extended only with percentiles better than 20%;
    • Priority for space will be given to independent investigators with NIH support or other peer-reviewed funding. Priority will be given to allocations of space to younger faculty rather than to the expansion of existing facilities for established investigators. Although priority will be given to NIH and other peer-reviewed funding, industrial funding can also be used as a measure for assigning space.

  5. The extent of an investigator's contributions to Departmental activities will be an element in consideration of assigning laboratory space.

  6. The Chair will approve all space changes regardless of who pays for the modification.

  7. At no time will a faculty member be assigned more than one office.

  8. Shared spaces such as equipment rooms, freezer rooms, and cold rooms are under the auspices of the Department of Medicine, not individual divisions. The Department will perform an occasional audit of shared spaces to ensure a fair distribution of space for resources.
